A call or an email comes in and the office logs it as an enquiry in seconds — the customer's details and where the work is. If it turns into a quote, the quote carries those details forward, and an accepted quote converts into a booked job in one click — nobody re-types the address.
The job goes into the calendar against a client and, for commercial customers, a specific site — so the address, the on-site contact and the access notes travel with it. Assign one engineer or several. Recurring contracts raise their own visits when they fall due, and the diary warns before it drops work onto someone who is on leave.
The engineer moves the job through its statuses from their phone — Scheduled, En Route, Arrived, In Progress — so the office can see where the work has got to without ringing anyone. Notes, photos and video clips attach to the job as they go, and capture keeps working with no signal, syncing when it returns.
Work finishes with a sign-off checklist and the customer signing on the device. If the scope grew on site, the engineer flags a variation for the office to approve. A job that couldn't be finished is marked Incomplete with the reason and can be re-scheduled, rather than quietly disappearing.
A signed-off job moves itself to Ready for Invoicing, so nothing sits forgotten in a 'complete' pile. The invoice is raised from the job, carries any approved variations as line items, and stays linked to the work it came from — commercial invoices can also hold a PO number, contract reference and retention.
Every invoice carries a Stripe payment link, and the payment reconciles against both the invoice and the parent job. Invoices and payments are pushed to Xero automatically as you mark them Sent and Paid, so the accounts follow the work without re-keying.
